๐ŸŽฏ Purpose of the Role

The Administrative Clerk is the operational heartbeat of the Newcastle Distribution branch. Your primary responsibility is to ensure the accuracy and efficiency of the Distribution and Recon Department. This role is high-volume and high-pressure, requiring you to bridge the gap between office administration and the frontline logistics staff. You will provide essential support to the Distribution Manager, ensuring all financial, HR, and operational paperwork is flawless.


๐Ÿ”‘ Key Responsibilities

Distribution & Finance Recon

  • Driver Recons: Administer and verify driver reconciliations, resolving queries from System Support and Metrofile.
  • Cash Office: Daily oversight of cash-up documentation and resolving processing queries from Head Office or the Administrative Controller.
  • Banking: Manage driver deposits on ERMS, print daily bank deposits, and track EFT payments against bank statements.

HR & Personnel Administration

  • Payroll Support: Responsible for Bestime, attendance registers, and overtime processing for branch staff and merchandisers at month-end.
  • Employee Records: Complete all HR forms, maintain personnel files, and manage the archiving process.
  • Disciplinary Support: Sit in on and take minutes for personnel discussions.

Branch & General Admin

  • Operational Control: Monitor the Seals Register, keep stock of bags/books, and handle pantech postage records.
  • Office Management: Order stationery and sundry stores, manage the petty cash record, and oversee the photocopier maintenance.
  • Committees: Represent the admin team at EE Forum, Safety, and SS meetings, including minute-taking.

  • Education:Grade 12 (Matric) is essential.
    • Beneficial: A Tertiary Certification in Finance or Business Administration.
  • Experience: Previous work experience in a similar administrative or recon role.
  • Technical Skills: Strong Excel skills (non-negotiable).
  • Licensing: A valid driver’s licence would be beneficial.
