Hours: 8 Hours per day (Includes a 5pm – 9pm SA time shift)

Role Purpose

We are seeking a highly organized and proactive Remote Office Administrator to anchor the daily operations of an established New Zealand commercial cleaning business. This is a pivotal role where you will manage the intersection of client relations, staff scheduling, and financial administration. As this is a New Zealand-based operation, you will work an 8-hour day that includes a structured 4-hour overlap with the NZ business morning (5:00 PM to 9:00 PM SA Time).


Key Areas of Impact

Workforce Coordination & Scheduling

  • Shift Management: Strategically schedule and manage employee work shifts, ensuring 100% service coverage for all clients.
  • Liaison: Act as the central point of contact for cleaners and supervisors to resolve leave requests or sudden scheduling changes.
  • Service Continuity: Ensure that the transition of staff between sites is seamless and uninterrupted.

Financial & CRM Administration

  • Bookkeeping: Perform basic bookkeeping functions and reconcile records using Xero.
  • Invoicing: Compile and issue accurate client invoices on a strict monthly or project-based schedule.
  • CRM Integrity: Maintain precise client and operational records within the CRM system (experience with Simpro is highly advantageous).

Client Relations & Health & Safety

  • Professional Communication: Manage all day-to-day email and WhatsApp correspondence with NZ-based clients.
  • Compliance: Maintain and update vital Health & Safety (H&S) documentation, ensuring all compliance records are current and accessible.
  • Follow-ups: Handle service confirmations and general inquiries with a high degree of professional etiquette.

What You Need to Succeed

Minimum Requirements

  • Experience: Proven administrative experience, preferably within a service-based or logistics-heavy business.
  • Software: Proficiency in Microsoft Office and Xero (essential).
  • CRM Skills: Previous experience with CRM systems is required; Simpro experience will put you at the top of our list.
  • Schedule Flexibility: Must be able to work the mandatory 5:00 PM – 9:00 PM SA time block daily.
