Role Purpose
Our client, a well-established leader in the pharmaceutical industry, is seeking a high-calibre Personal Assistant to support the Group CEO. This pivotal role provides a blend of high-level administrative, strategic, and operational support across multiple companies within the group. You will act as the “gatekeeper” and a strategic liaison, ensuring the CEO’s time is optimized and that group-wide corporate objectives are tracked and met with precision.
Key Performance Areas
1. Executive & Board Support
- Calendar Optimization: Masterfully manage the CEO’s complex schedule across multiple entities and time zones.
- Communication Liaison: Act as the primary point of contact between the CEO and Managing Directors, Board Members, and international stakeholders.
- Governance Logistics: Organize high-stakes board meetings, strategic offsites, and quarterly reviews, including the preparation of agendas, minutes, and rigorous action-plan follow-ups.
2. Strategic & Project Oversight
- KPI Tracking: Monitor Key Performance Indicators (KPIs) for all group companies, providing the CEO with visibility on organizational health.
- Financial Assistance: Support the CEO in financial tracking, including budget monitoring, cash flow oversight, and expense management.
- Synergy Projects: Oversee the progress of strategic initiatives related to cost optimization and operational efficiency.
3. Travel & Logistics
- Itinerary Management: Organize seamless domestic and international travel, including complex flight connections, accommodation, and localized meeting schedules.
- Resource Management: Maintain advanced digital document systems and optimize the use of productivity tools (Smartsheet, Power BI, Tableau).
What You Need to Succeed
Academic & Professional Requirements
- Education: Bachelor’s degree in Business Administration, Management, or Communications.
- Certifications: PMP, PRINCE2, or specialized Executive Assistant training (highly preferred).
- Experience: Minimum 5 years supporting C-suite executives, ideally in a multi-company or pharmaceutical environment.
- Technical Savvy: Advanced proficiency in MS Office (Excel/PowerPoint) and familiarity with Smartsheet and data visualization tools like Power BI.
