๐ŸŽฏ Purpose of the Job

The Parts Administrator is a vital link between the warehouse and the workshop. You will be responsible for the full lifecycle of parts managementโ€”from inventory tracking and supplier liaison to ensuring that technicians have the necessary components for scheduled maintenance. You must work independently and adhere to strict health and safety standards.

๐Ÿ”‘ Key Responsibilities

Operational & Stock Management

  • Picking & Issuing: Accurately pick and issue parts based on job cards; ensure pre-booked parts are ready before vehicles enter the workshop.
  • Inventory Control: Conduct cycle counts and full stock takes; track parts movement and monitor stock transfers.
  • Reporting: Maintain the backorder report, record daily stock-outs, and identify slow-moving or obsolete stock for the Parts Manager.
  • Returns: Track and process all credit returns to suppliers.

Procurement & Supplier Liaison

  • Purchasing: Raise purchase orders (POs) for non-stock items or “buy-outs” as required by job cards.
  • Supplier Coordination: Follow up on deliveries and collections to ensure zero delays in the workshop.
  • Receiving: Verify incoming stock and issue it against active job cards immediately upon receipt.

Housekeeping, Health & Safety

  • Workplace Standards: Maintain a clean, organized, and tidy work area according to Value Housekeeping procedures.
  • Compliance: Adhere to all Health and Safety requirements to ensure a safe working environment.

โœ… Minimum Requirements

  • Education: Grade 12 (Matric).
  • Experience: 2โ€“5 years of experience specifically in a Parts environment.
  • Technical: Computer literate (proficiency in Embrace software is highly advantageous).
  • Communication: Good written and oral communication skills.
