Role Summary
Bidvest Prestige is a market leader in facilities management. We are seeking an organized and proactive Toilet Hire Administrator to manage the full administrative and logistical lifecycle of our portable sanitation business unit. You will be the central point of contact between our clients, sales team, and logistics department, ensuring that every rental is delivered on time and managed with financial accuracy.
Key Responsibilities
Logistics & Coordination
- Fleet Scheduling: Coordinate the daily delivery and collection of portable toilets across various client sites in the Eastern Cape.
- Logistics Liaison: Work closely with drivers and the transport team to ensure optimal route planning and timely service delivery.
- Service Tracking: Monitor the servicing schedules for long-term hires to ensure hygiene standards are maintained.
Contract & Financial Administration
- Order Processing: Manage the end-to-end hire process, from initial inquiry and contract processing to final billing.
- Record Keeping: Maintain a meticulous database of client details, hire durations, equipment locations, and payment statuses.
- Financial Reporting: Prepare regular reports on unit revenue, operational expenses, and profitability.
Client Relationship Management
- Customer Support: Handle all inquiries, resolve complaints professionally, and ensure that client requirements are understood and met.
- Sales Collaboration: Partner with the sales team to identify potential new business and provide administrative support for new rental tenders.
What You Need to Succeed
Minimum Requirements
- Education: Grade 12 (High School Diploma) or equivalent.
- Experience: Previous administrative experience in the facilities management, equipment rental, or logistics industry is highly preferred.
- License: A valid South African Driver’s License.

- Proficiency: Advanced skills in the Microsoft Office Suite (Excel, Word, Outlook).
- Organisational Mastery: The ability to manage multiple rental contracts and logistics schedules simultaneously under pressure.
- Communication: Strong verbal and written communication skills to liaise effectively with corporate clients and site staff.
- Autonomy: A self-starter who can work independently while remaining a collaborative member of the Eastern Cape team.
